Position Overview:
We are seeking a dynamic and motivated individual to join our Activations & Experiences team as a Summer Intern. This position offers the opportunity to gain hands-on experience in the planning and execution of activations, with a primary focus on supporting the DNC 2024 project. As an intern, you will work closely with experienced professionals in a fast-paced environment, contributing to the success of high-profile events while developing valuable skills and insights in the experiential marketing industry.
Key Responsibilities:
Assist in the development of conceptual designs and renderings for activations.
Conduct research on industry trends, competitor activations, and best practices.
Support the planning and coordination of logistics for the DNC 2024 project, including warehouse coordination, material shipping, and onsite support.
Assist in the preparation of client presentations, proposals, and project documentation.
Collaborate with cross-functional teams, including design, production, and management, to ensure seamless execution of activations.
Provide administrative support, including data entry, scheduling, and correspondence.
Our Event and Tradeshow:
Management unit provides meeting, convention, event, and tradeshow management nationwide through the expertise of our meeting professionals, who manage every facet and detail of our organization’s events and experiences. Our goal is to work closely with a client to create a rewarding experience for all attendees, exhibitors, and sponsors while ensuring a successful outcome based on the organization's event objectives.
What You Will Do:
Manage and coordinate all event tasks associated with assigned events, experiences, and tradeshows.
Develop and maintain relationships with clients and vendors to ensure customer satisfaction and account renewal.
Prepare and present project budgets and proposals to clients
On-site client contact during installation, event days, and dismantle.
Debrief with the project team and client’s post-show.
Initiate, assist and or contribute to the planning of meetings, events, tradeshows, and experiences (e.g. researching future sites, supplier/vendor coordination, correspondence, and post-event support and evaluations)
Post-show reconciliation: Handle financial reconciliation, including processing invoices, collecting past-due payments, and reconciling monthly with our project and accounting team, post-show wrap-up reports.
Assist with planning responsibilities for multiple clients, conventions, live experiences, and events.
Facilitate continuous communication within the GCJ Companies, clients and exhibitors/sponsors, attendees, and suppliers to meet the needs of client organizations
When necessary, oversee and manage temporary staff (data entry, filing, event coordinators, etc.)
Other duties as assigned.

All Responsibilities:
Works with the show / event operations manager to collect details on scope of work for assigned shows.
Documents, reports and maintain accurate show files and production documents.
Coordinate distribution of on-site files and supervisor packets.
Monitors all internal systems for tickets and orders.
Develops, updates and maintains accurate planning documents for each show.
Assists in collaborations with internal departments to understand operational project
scope on a show or event
Develops and maintains show files for year over year reference.
General understanding of show site operations, third party, venue offerings and local
union jurisdictions.
Manages time tracking and utilization reporting
Provides Best in Class Service and Quality for our clients.
Duties:
Responsible for assisting all areas of financial processes related to projects and general accounting duties. The ideal candidate will have solid communication, technology and analytical skills, be detail-oriented and well- organized and be able to effectively prioritize and execute tasks. This individual must be able to successfully manage interpersonal relations and communicate clearly to effectively support management, project managers and other staff and external sources.
Invoicing – prepare monthly invoices, % complete and review time and expense billing.
Manage Accounts receivable process including collections – follow-up with clients to collect outstanding receivables.
Manage Accounts Payable process including review and process all project related invoices in accordance with proposal/contracts.
Project Management – Work closely with principals and project managers to assist in monitoring project performance.
Monthly Financial Reporting – Assist in calculation of revenue recognition relative to project performance based on estimates to complete.
Prepare balance sheet and some income statement account reconciliations including bank reconciliations.
Assist in month-end and annual close processes. Preparing various journal entries and analysis as they relate to the close.
Assist in annual audit process.
Preparation and filing of sales/use tax.

As an intern, you will collaborate closely with experienced professionals in a fast-paced environment, contributing to the success of high-impact social media campaigns while developing valuable skills and insights in the field of digital marketing and communications.
Key Roles
Develop and execute social media content calendars aligned with project objectives, ensuring consistent brand messaging and engagement strategies across platforms.
Create compelling and visually appealing content for various social media channels, including but not limited to Facebook, Twitter, Instagram, LinkedIn, and TikTok.
Monitor social media trends, audience insights, and competitor activities to identify opportunities for strategic content creation and audience engagement.
Implement social media advertising campaigns, including ad creation, targeting, optimization, and performance tracking to maximize reach and engagement.
Engage with followers and respond to comments, messages, and inquiries in a timely and professional manner, fostering positive interactions and building brand loyalty.
Collaborate with cross-functional teams to integrate social media initiatives with overall marketing and communications strategies, ensuring consistency and alignment.
Track and analyze social media metrics and KPIs, generating regular reports to evaluate campaign performance, identify areas for improvement, and inform future strategies.
Stay abreast of emerging social media platforms, tools, and best practices, proactively recommending innovative approaches to enhance our digital presence and engagement.

CHICAGO (April 30, 2024) — Show Strategy, a leading name in the events and marketing industry, today announced the launch of its inaugural 90-day internship program in collaboration with Choose Chicago. This program is crafted to provide participating interns with a comprehensive and immersive experience in the fields of exhibitions, conferences and experiential marketing activations. Students in the initial cohort will have the opportunity to contribute to the build-out of the Democratic National Convention, for which Show Strategy was selected as the event management and exposition services provider, in collaboration with Juan & Only Events.
“When Show Strategy was selected to help put on the 2024 Democratic National Convention, we knew we wanted to pay it forward by introducing more young people to the events and marketing industries,” said Glenn Charles, President and CEO of Show Strategy.

The internship will offer a multifaceted experience aimed at equipping college or graduate students with a diverse skill set and comprehensive understanding of careers in the events and marketing industries. Throughout the 90-day program, interns will gain practical experience across various aspects of event management and will develop essential skills in project management, client communication, and collaborative teamwork. Additionally, the internship will provide ample networking opportunities within the events and marketing sectors, enabling interns to forge valuable connections and expand their professional networks.
As a culmination of the internship experience, participants will engage in the
"Event Innovation Challenge." This simulated project will showcase interns' creativity, problem-solving skills, and industry knowledge as they devise and present innovative event activations or marketing campaigns tailored to hypothetical client scenarios.

In addition to Show Strategy’s internship program, Juan and Only has provided an internship program since 2019, which will continue this year. For our DNC Internship program, Juan and Only will work with One-on-One Chicago, an organization that continues to commit change through economic empowerment, located in the Woodlawn community. One-on-One Chicago will provide financial support and resources for two driven individuals to gain invaluable experience in event logistics within the exposition and events industry. Throughout the program, these young talents will have the chance to learn and grow, honing their skills and capabilities. We believe in the power of mentorship and hands-on learning, and we are excited to see the positive impact the DNC experience has on their lives.
